# Professional services firms in Perth: what actually eats the week

Professional services sell hours. This piece is about the paperwork around those hours, and who takes each job.

Where does the week actually go?

New clients first. Every one needs an engagement letter drafted and sent. Then it needs chasing until it comes back signed. Identity and conflict checks sit on top of that.

Then the matter or job file has to be opened and kept tidy.

Then timesheets. Half the team enters time on Friday afternoon from memory. The other half forgets until someone asks. Time that never gets recorded is work the firm did for free.

Then proposals and tenders. Each one wants research and a fee estimate. Plus a capability statement somebody rewrites because the last one is buried in a folder.

Then invoices. They go out late. The follow-up goes out later. The money arrives later still.

None of it is billed.

Xero published a survey of 500 Australian small business owners in May. Financial management alone came out at around 21 hours a month. That is a vendor survey, so treat it with a little caution.

The same survey found owners lose more than four hours of productive work a week to stress. Those are not hours anyone billed either.

I get asked this all the time. Fair question.

The other half of the answer is scope. A general chatbot does not know that an unsigned engagement letter means a job is stuck at the starting line. Your agent does, because that rule is written into its procedure, on a private setup built for your firm.

What would you automate first?

The job with a cost you can point at.

Compare that against the hours the admin costs you now. Take the Xero figure of 21 hours a month on financial management. Whatever gets built should be obviously smaller than what those hours cost you. If it is not, do not buy it.

So is it worth doing?

Your sector sat at 24 per cent AI use in 2024-25, double the all-business average. Small and micro businesses across the whole economy sat at 11 per cent. That figure covers every industry, but a 12-person practice sits in both groups at once. Your sector is adopting fast. Your size bracket is not.

Deloitte Access Economics adds a wrinkle. In vendor research commissioned by Amazon and published last November, two-thirds of Australian SMBs said they use AI. Only 5 per cent were "fully enabled". So plenty of firms have tried a chatbot. Far fewer have handed a whole job to something that runs without them.

The market is not short of suppliers either. When I mapped Perth in May I found 16 AI consulting firms operating here.

Those hours get spent either way. The choice is whether they get billed or absorbed.
